This tutorial will guide you through utilizing your KIM Knowledgebase. It covers creating folders, policies, and documents, as well as editing and establishing groups
Go to kynection.upvise.com
1. Click on Knowledge Base
To begin, select the knowledge base icon under the HSEQ tab from your home dashboard.
2. Click + To Create Groups
On the front screen, you'll find two groups with "All folders" and "All Files" buttons, housing all your saved content. Your documents are conveniently listed as well. Use the + icon to create new document groups
3. Click The Checkmark To Save
Simply provide a name for your new folder and add it to a parent group if necessary.
4. View Folders
Once your folder is created you will see it in your "All Folders" section.
5. Fill In The Fields
To start, name your document and complete the fields. Specify the group folder, define the roles that can view it, add search tags for easier retrieval, and identify document owners. Leaving this section blank will provide access to all. Now, let's click the "Edit Description" button.
6. Create Your Document
Clicking the "Edit Description" button opens the editing box, allowing you to create and modify your document.
7. Click "Save Description"
Once done editing - simply click on the "Save Description" button.
8. Checkmark To Save
Click the checkmark icon to save your changes.
9. Master Search Bar
Utilize the master search bar to find a document by its name.
10. Click On The Document
Once located, simply click on the document.
11. Click "Submit For Approval"
Before submitting for approval, review the document to ensure all attachments are added and visible to the correct users. Then click the "Submit for Approval" button.
12. Edit Icon
Each attachment you upload features a circular info icon accessible via the top bar. This icon allows you to determine who will have ownership rights and visibility for your image.
13. Allocate Approver
Allocate an approver by selecting their name from the list.
14. Click "Signature"
And sign your document, to let your approver know you are happy with the content you are sharing.
15. Sign & Click OK
To release your document for approval, utilize the electronic signature and select "OK."
16. Click "Submit"
Select the submit tab to finish the approval
17. The Approver to Click "Approve"
Your approver will receive a notification to assess the document and approve your content as applicable.
18. Approver Signature
The approver must sign the document to confirm they have fulfilled their role.
19. Click "Approve"
Sign and click the "Approve" button
20. Click "Export PDF"
Select the cloud icon to export the document in PDF format.
21. Click + For A New Revision
Click the + icon to initiate a new revision, implement any changes, and confirm by clicking the OK tab. Your old revision can be stored on any other drives.
22. History Archive
Any changes made to the documents will be recorded in the history tab.
